Sr. IT Asset Management Specialist (Software Asset Management)

Participates in all functions of the Information Technology Asset Management Process for hardware and software assets including but not limited to ordering, receiving, stock maintenance, asset assignment, inventory control, MACD activities, asset imaging and asset preparation for use, asset retention, asset reclamation, asset retirement and decommission, asset refurbishment, asset disposal, software agreement and license management/metering/harvesting, vendor and contract reviews and discussions and all aspects of the hardware and software asset management as directed by IT management. Duties may focus on software, hardware or both. Also provides guidance and mentoring to junior level ITAM associates.

Essential Functions:

  • Ensure ITAM Discipline is adhered to across all aspects of the ITAM Process.
  • Ensure appropriate governance is in place for the IT asset repository to regularly have a 95% or better accuracy.
  • Provide IT asset related metrics and reports as requested by management.
  • Perform internal self-audits regularly and support external audits of hardware and software assets as required.
  • Organize and analyze purchase information to establish an accurate and complete summary of asset costs.
  • Identify savings opportunities for purchases, renewals and software licensing.
  • Review and maintain owned software license repository and improve the scope, quality and reliability of the data.
  • Participate in software license metering and harvesting efforts.
  • Collect information for budgeting, software compliance & inventory, contract summaries, and cost comparisons.
  • Performs other duties as assigned.

Ideal Candidates must have:

    1. The position is IT Asset Management Specialist Senior, the role is focused on SAM (Software Asset Management) – this is dealing with the licensing and compliance aspect of all software

    2. Duties involve all aspects of managing the SAM Lifecycle from Planning to Retirement (Plan, Budget, Review, Order, IMAC (Installs/moves/adds/changes), Usage/Right-Sizing, Audit/TrueUp, Retire)

    3. Requires working closely with Finance, Vendor Management, Procurement, Legal, Compliance, Infrastructure Support and Engineering Teams, vendors/resellers, publishers and consultants

    4. Requires advanced skills in SharePoint and Excel – intermediate in Word, Visio and PowerPoint

    5. Experience with an enterprise SAM tool required - preferred in Flexera FlexNet Management Suite (FNMS) - other enterprise tools such as SNOW, Aspera, CA SAM, ServiceNow SAM considered

    6. Experience going through internal audits as well as external audits from publishers, law firms or organizations such as the Business Software Alliance

    7. Must be comfortable with leading meetings, coordinating schedules in Outlook, talking in front of groups and working with people across all levels from entry level tech to CEO

    8. Must understand how to create documentation and design processes

    9. Must be very analytical and questioning – have the ability to analyze data and determine actions based on assessment

Candidate Education:
  • Preferred A Bachelor's Degree in a related field
Candidate Experience:
  • Required 5 years of experience in IT Asset Management
  • Preferred 10 years of experience in IT Asset Management
  • Preferred Other IT Asset Management and Discovery Tools use experience
